Green Valley AZ Farmers Market (GVAZFM) Vendor Application & Participation Agreement

Market Purpose

The purpose of the Green Valley AZ Farmers Market (GVAZFM) is to create a welcoming, harmonious, and festive environment for community residents, vendors, and visitors. Our goal is to promote a wholesome, family-friendly atmosphere while supporting local businesses, artisans, farmers, and organizations.

The market is organized and administered by Kathy Martinez-Chavez, in partnership with Tractor Supply Staff, to:

  • Serve as a center for social, civic, and retail community activity
  • Contribute positively to the image of Tractor Supply and the surrounding community
  • Provide opportunities for community engagement and outreach
  • Introduce residents and visitors to fresh foods, unique products, educational opportunities, and local organizations

Vendor Participation

For the purposes of these rules, “Participants” include any vendor, retailer, grower, farmer, seller, crafter, artist, or organization approved to participate in the market. By submitting an application and participating in the market, vendors agree to conduct themselves with professionalism, integrity, and a commitment to quality; to support market promotions, events, and activities to the best of their ability; and to comply fully with all market rules, policies, and procedures.

Vendor spaces and sales privileges may not be sold, sublet, transferred, or shared under any circumstances.

Code of Conduct

All participants, including vendors, employees, family members, and guests, are expected to conduct themselves in a respectful and professional manner at all times.

The following behaviors will result in immediate dismissal from the market: disruptive, discourteous, or aggressive conduct; yelling, fighting, or the use of derogatory or prejudicial language; intoxication or engagement in illegal activity; and any violent, unsafe, or threatening behavior.

Any concerns, complaints, or disputes must be communicated to market management in a professional and respectful manner. Concerns, complaints or disputes must be submitted in writing and addressed outside of market hours.

Vendor Selection & Product Approval

Market Management Rights

Market management reserves the right to accept, decline, or remove vendors or products at its discretion. Management may limit or allow the number of vendors offering similar products and may approve or deny specific commodities based on market needs, suitability, and overall balance.

Only approved, high-quality products may be displayed or sold at the market. Vendors must receive prior approval from market management before introducing any new products.

Applications from political groups or political candidates are not accepted.

Vendor Priority

Priority consideration is given to handmade crafters and artisans, as well as food makers and specialty producers.

Home bakers, food, and beverage vendors are required to submit a current Pima County Food Selling Permit with their application.

  • Markets are held year-round, rain or shine
  • 2nd and 4th Saturdays of each month
  • December only: 2nd and 3rd Saturdays
Market Hours
  • May – September: 8am – 1pm
  • October – April: 8am – 12pm

Fees

  • $25 per 10′ x 10′ booth space
  • Each additional 10′ x 10′ space: $25

No refunds. We run rain or shine. If you set up for any amount of time at the market you are responsible for paying the full vending fee…no matter the length of time you stay.

Tent & Space Requirements

Tents are not required; however, if a tent or canopy is used, it must be commercially manufactured and securely anchored at all times.

Vendors using a tent are required to have adequate weights attached to each canopy leg. A minimum of 40 pounds per leg is strongly recommended. If market organizers determine that the weights are insufficient, or if a vendor does not have the required weights, the vendor will be required to either remove the canopy and operate without it or choose not to participate in the market for that day.

Failure to comply with these requirements, or engaging in rude or unprofessional behavior, may result in immediate removal from the market and possible disqualification from future participation.

All vendor spaces must be clean, sanitary, and professionally maintained throughout the market.

Setup & Arrival

Setup time: 6:30am – 7:45am

Vendors requiring additional setup time must receive prior approval from the market organizer before each market date. Vendors who arrive before the designated setup time and begin setting up, or who drive into the market area to unload before setup is permitted, may be removed from the market schedule.

Vendors who arrive after the designated setup period (without prior approval for the delay) may forfeit their assigned space, which may be reassigned to a standby vendor.

Registration Confirmation & Roll Call

Accepted vendors will receive an email confirmation. Vendor applications may be accepted up until the start of the event, when applicable.

Roll Call

Roll call is conducted the weekend prior to each market. Vendors are required to respond YES or NO by 5:00 p.m. on the Tuesday before the scheduled market.

Vendors who do not respond to roll call will forfeit their space for that weekend’s market. Missing three consecutive markets for which a vendor has signed up will result in the loss of any guaranteed spot and placement on the backup vendor list.

Payment Information

  • Vendor fees are paid in cash on the morning of each market
  • We will never request payments via email or text – beware of scams

Vendor Space Requirements

Vendors who sign up for every market date and remain in good standing—defined as regular attendance, reliability, and compliance with all market rules—may be eligible for a permanent vending space. Vendors assigned a permanent space may forfeit that specific spot if they miss two consecutive markets. Past placement or early signup doesn’t to guarantee the same space you had in past seasons.

All other vendors will receive their space assignment the morning of each market. Vendors may be placed in either the north or south vending area. Market organizers reserve the right to assign vendor locations as they deem appropriate for the overall success and balance of the market.

We ask that all vendors respect these placement decisions and refrain from requesting specific locations or voicing complaints regarding their assigned space.

Parking & Unloading

Vendors are required to unload in the front parking lot. Most vendor spaces require transporting equipment to the vending area; vendors should plan accordingly and bring wagons or dollies as needed. Limited drive-up spaces are available and cannot be guaranteed.

After unloading, all vendor vehicles must be parked either across the street from Tractor Supply or on the east side of Abrego. All vendor vehicles must be moved and parked no later than 7:45 a.m.

Unloading and vendor parking are strictly prohibited on the north side of the Tractor Supply building. This area is reserved exclusively for market volunteers.

Liability & Indemnification

Vendors participate in the market at their own risk and are solely responsible for securing their canopies, displays, and equipment; for any damage caused by their setup or operations; and for all setup and cleanup of their vending area.

Each vendor agrees to indemnify and hold harmless the Green Valley AZ Farmers Market, its organizers, Tractor Supply, and all associated affiliates from any and all claims, damages, injuries, losses, liabilities, or legal costs arising out of or related to the vendor’s participation in the market.

Agreement

Submission of a vendor application for the Green Valley AZ Farmers Market constitutes agreement to all rules, policies, and procedures of the Green Valley AZ Farmers Market.

All electronic applications must be physically signed in person at your first market. Typed or electronic signatures are not accepted.
